Position Summary

MDVIP is seeking an EHR Optimization Specialist to support affiliated physicians and staff. Reporting to the EHR Optimization Manager, this role provides training and ongoing support from pre-go-live through full EHR adoption. The team collaborates to improve documentation, workflows, and outcomes, while enhancing quality reporting and financial efficiency.

You will develop and maintain positive relationships and professional interactions with affiliated physicians and their staff, internal MDVIP employees and external vendors. The optimization services begin with pre-go live training, onsite training and support, and evolves into a long-term support partnership towards full EHR adoption.

 

Key Responsibilities

 Lead Training and Optimization Initiatives

  • Design and deliver customized training plans aligned with individual practice needs and user proficiency levels.
  • Conduct virtual optimization sessions and share workflow recommendations and best practices to enhance electronic health record (EHR) utilization.
  • Perform needs assessments and customize workflows to improve documentation quality and overall practice efficiency.
  • Provide targeted training for new hires upon office request.

 

Operational Support & Coordination

  • Coordinate Training Logistics: Manage training schedules, monitor OS assignment calendars, and arrange travel as needed.
  • Ensure Pre- and Post-Training Communication: Conduct outreach before training sessions and send follow-up emails after go-live to support continuity.
  • Maintain Accurate Documentation: Submit timely expense reports, complete trip summaries, and update Salesforce records and associated cases to ensure data integrity and visibility.

 

Affiliate Engagement & Support

  • Develop training outlines, agendas, and supporting materials tailored to affiliate needs.
  • Host scheduled webinars and Lunch-and-Learn sessions to promote continuous learning and system optimization.
  • Address affiliate and staff inquiries via email or phone, ensuring timely and effective communication.
  • Complete assigned cases and special projects during non-travel periods to support organizational goals.
  • Draft affiliate communications and relay key updates to internal teams to ensure alignment and transparency.

 

Product Expertise

  • Regularly review bi-weekly and quarterly Athena release notes to remain current with product updates and enhancements.
  • Monitor the Athena Roadmap to anticipate upcoming changes and prepare for their impact.
  • Attend release training sessions and complete continuing education to maintain expertise and support evolving practice needs.

Key Competencies

  • Ability to deliver engaging, tailored training (both virtual and onsite) that improves user proficiency, adoption, and workflow efficiency.
  • Strong interpersonal skills to build trust with physicians, staff, vendors, and internal teams; skilled at professional communication across diverse stakeholders.
  • Deep knowledge of Athena Clinicals and medical office workflows, with the ability to assess needs, customize solutions, and optimize documentation practices.
  • Ability to assess affiliate challenges, identify gaps in workflows, and recommend actionable solutions that support clinical outcomes, quality reporting, and operational efficiency.
  • Comfortable with high travel demands, shifting priorities, and independent work; organized with strong time management for training schedules, cases, and administrative tasks.
  • Proficient in core tools (Microsoft Office, Salesforce, screen sharing apps), quick to learn new technologies, and committed to staying current with product and industry updates.

Minimum Qualifications

  • Bachelor’s degree in a relevant discipline — or equivalent experience.
  • Three (3) years in Athena Clinicals training and a solid understanding of EHR.

Preferred Qualifications

  • Understanding of the CMS program MIPS, clinical training and primary care medical office experience.

Our compensation reflects the cost of labor across appropriate US geographic markets.
